1. Who we are

SkoolManage (“we”, “us”) provides school-management software to educational institutions (“Schools”). This policy explains how we handle personal information when Schools, their staff, students and parents use our platform.

2. Information we collect

• School & account data: school name, address, contact details, administrator details and login credentials (passwords are stored only as secure hashes).
• Student & staff records: names, class/section, roll and admission numbers, guardian contact details, attendance, marks, fees and payroll information entered by the School.
• Uploaded files: photos and documents (for example leave attachments) uploaded by users.
• Usage data: basic technical logs such as device/browser type and timestamps, used to keep the service secure and reliable.

3. How we use information

We use information solely to provide and operate the platform: to run the features Schools rely on, send transactional emails (welcome messages, invoices, receipts, reminders and notifications), provide support, ensure security, and comply with legal obligations. We do not sell personal information and we do not use it for third-party advertising.

4. The School controls its data

Each School is the controller of the student, parent and staff data it enters. SkoolManage acts as a processor on the School's behalf. Data is logically separated so that one School can never access another School's information.

5. Service providers

We rely on trusted providers to run the service — cloud hosting, database hosting, file storage and email delivery. They process data only to provide their service to us and under appropriate safeguards.

6. Data retention

We retain a School's data while the account is active. If a subscription lapses, data is retained through the grace period and for a reasonable time afterwards so the School can renew without loss. On a verified deletion request, data is removed as described in our Data Deletion Policy.

7. Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords and access controls. No system is perfectly secure, but we work to protect information against unauthorised access, alteration or loss.

8. Children's data

Student records are entered and managed by the School and its authorised staff. Parents may access their own child's information through accounts provided by the School. We handle this data only to provide the service to the School.

9. Your rights

You may have rights to access, correct or delete personal data. Because Schools control their data, please direct such requests to your School; you may also contact us at info@skoolmanage.com and we will assist the School.

10. Changes

We may update this policy from time to time; material changes will be reflected by updating the date above.
